HOW DO I SEARCH THESE FAQS?

Simply hit <Ctrl f> or <CMD f> in any browser. Then type in the keyword you want to find in the small finder window that you just opened. It's a great why to find what you need on this page. (This is similar to how your pdfs can be searchable if you opt for OCR processing)

 

HOW MANY PAGES DO I HAVE?

A typical Banker Box holds about 2500 pages
You should have around 2500 +/- pages in your typical box.
10000 pages in a large cabinet drawer
Your large file cabinet drawer should hold around are 10,000 +/- pages or four boxes.

 

Do I Have to scan anything?

Don't worry. You don't have to scan anything. We'll do it all for you, including pickup. Your new digital files can be emailed, stored on CD-ROMs, DVDs and Online under state of the art 256-bit encryption. They can also be integrated with any software system you choose. Then, we recycle the paper.

 

Do I have to scan my Real Estate Files?

Don't worry, you don't have to scan anything. At Paperless Solutions we know you don't have the time or desire to scan your documents. Let us do all the work, while YOU focus on your next sale. Not only are YOUR files digitized but your clients receive JUST the documents you want them to see. Their document links are stored along side YOUR website on the CD-ROM WE invented. AND your picture appears as an icon on every clients' desktop!

 

How Do you Pickup My Files?

Getting your pages to Paperless Solutions is so easy - No file preparation needed. Just choose the option that's best for you. Option 1 -  Simply put them in our Prepaid shippers and contact us. Option 2 - Put our Prepaid labels on your ship-ready-boxes and contact us.  Option 3 -  Use the shipper of your choice and send them yourself... You can also drop off the Prepaid shippers & boxes at any U.P.S. store or U.P.S. bin. Now isn't that easy?

 

HOW DO YOU SCAN AND IMAGE MY DOCUMENTS?

When we scan your documents we create images of the paper in a tiff format. That image is then converted to a PDF that you can view and read on any computer using Adobe's Free Acrobat Reader. In short, your documents are converted digitally.

 

How Do You Convert My Files?

At Paperless Solutions, conversion of your documents is safe, secure, accurate and private.  Every pre-paid shipper has unique barcode tracking from your door to ours. Upon arrival, your documents are sub-bar coded and tracked through-out our entire system. Preparation and scanning of your documents is handled by our Certified Document Conversion Specialists who completed a 90 day training program assuring meticulous and accurate conversion. Our comprehensive FBI fingerprinted background check and confidentiality & privacy training assures your information is safe and secure.

 

How are My Digital Documents Delivered?

Once your documents have been prepared and converted by our Certified Specialists they are sent to our Quality Assurance department. At Paperless Solutions we triple check everything for accuracy by comparing the scanned images to the originals. Once approved, your new digital files can be emailed, stored on CD-ROMs, DVDs and on Locator Online. They can also be integrated with any software system you choose. 30 days after receipt of your digital files, we shred and recycle the paper.

 

What happens to My Paper?

Once your paper has been picked up, converted and your new digital files delivered, we wait thirty days then we shred and recycle the paper. In 2003 Paperless Solutions recycled 15,000 pounds of paper. Saving 125 trees. Now we recycle more than that every month. This year alone we will save over 1000 trees. Do I have to have my paper shredded?

Of course not. It's your paper. If you just can't part with it, you can pick it up yourself for free or we will ship it back to you. Please see pricing for return fees.

 

Some of my files are already pdfs can they be uploaded with the paper?

Of course. Just send your pdfs with the appropriate labeling information to digitaldocs@PaperlessSolutions.com and we will upload them along side the paperwork we scanned.

 

How do you assure privacy of My documents ( HIPAA, Etc)?

At Paperless Solutions our HIPAA Compliance and Privacy Safeguards assure your files are kept private. All paper files are stored in a secure location under lock and key. Digital files are encrypted at 256-bits and can only be accessed with a user name and password. Files are only accessed by the people assigned to scan and QA them. Everyone at Paperless Solutions who comes into contact with the files: undergoes a complete FBI background check that includes fingerprinting, completes sensitivity training in HIPAA and all privacy laws with regular refreshers at least annually, signs and agrees to an extensive confidentiality agreement. How Long does it take To Scan My Documents?

A single typical box can be Prepped, Scanned, Converted, Quality Assured and Delivered (emailed or FTP'd) in one day. However, the length of time needed for your job will depend on its size and scope. It can range from a couple of hours to several months.

 

When we review your scanning order, we can give you a better idea of the turn around time. Typically, while your documents are in our possession, we can scan any file or page on demand.

 

What is a PDF?

A PDF is a digital representation of a document that you can read and view on any computer with the Free version of Acrobat Reader. PDF is short for Portable Document Format created by Adobe in 1993. All Paperless Solutions' scanned documents are viewed in the PDF format for universal access. You do not need to buy any special software. All your documents can be imported into virtually any system.

 

What is OCR?

OCR stands for Optical Character Recognition. In short, OCR processing can take your scanned image and turn it into a Searchable PDF or an Editable and Searchable word processing document. With OCR you can edit that manuscript you typed up 20 years ago or easily search and find the 1099 from 1986 in your 500 page file.

 

What is FTP?

FTP stands for File Transfer Protocol. It is a simple way to transfer your PDF files that are too large for your email host to handle from our servers to your computer. WIth FTP you don't need a CD or email to get your files.
