Q: HOW MANY PAGES DO I HAVE?


For reference you should have around 2500 +/- pages in your typical banker’s box. Your large file cabinet drawer should hold around 10,000 +/- pages or four boxes.


Q: HOW DO YOU PICK UP MY FILES?


Getting your pages to Paperless Solutions is so easy – No file preparation needed. Just choose the option that’s best for you.

Option 1 – Give us a call so that we can answer any questions and give you a quote.
Option 2 – Discuss free local pickup of your files and/or discuss pickup cost

Option 3 -  Use the shipper of your choice and send them directly to us.


Q: HOW DO YOU SCAN AND IMAGE MY DOCUMENTS?


All documents are scanned in an easy to access and view PDF format that you can view and read on any computer using Adobe’s Free Acrobat Reader. In short, your documents are converted digitally.


Q: WHAT HAPPENS TO MY PAPER AFTER IT'S SCANNED?


Once your paper has been picked up, converted and your new digital files delivered, we wait a minimum of thirty days before we shred and recycle the paper. Paperless Solutions recycled over 10,000 pounds of paper last year saving 125 trees. Now we recycle more than that every month. This year alone we will save over 1000 trees. Don’t let your paper just sit there taking up space. Go Green with us.


If you just can’t part with it, you can pick it up or we will ship it back to you for an additional fee.



Q: HOW DO YOU ENSURE THE PRIVACY OF MY DOCUMENTS?


At Paperless Solutions our HIPAA Compliance and Privacy Safeguards assure your files are kept private. All paper files are stored in a secure location and monitored 24/7 while under lock and key. Your online digital files are encrypted at 256-bits and can be accessed only with your user name and password. Files are only accessed by the people assigned to scan and QA them. Everyone at Paperless Solutions who comes into contact with the files: undergoes a complete FBI background check that includes fingerprinting, completes sensitivity training in HIPAA and all privacy laws with regular refreshers at least annually, signs and agrees to an extensive confidentiality agreement.


Q: HOW LONG DOES IT TAKE TO SCAN MY DOCUMENTS?


A single typical box can be Prepped, Scanned, Converted, Quality Assured and Delivered in one day. However, the length of time needed for your job will depend on its size and scope. It can range from a couple of hours to several months.  When we review your scanning order, we can give you a better idea of the turnaround time.


Q: WHAT IS OCR?


OCR stands for Optical Character Recognition. In short, OCR processing can take your scanned image and turn it into a Searchable PDF or an Editable and Searchable word processing document. With OCR, you can edit that manuscript you typed up 20 years ago or easily search and find the 1099 from 1986 in your 500-page file.


Q: ARE MY FILES ACCESSABLE DURING THE SCANNING PROCESS?


Typically, while your documents are in our possession, we can scan any documents or page on demand.  We can also return the original documents during the scanning process.


Q: SOME OF MY FILES ARE ALREADY PDF'S, CAN THEY BE UPLOADED TOO?


Of course. Just send your pdfs with the appropriate labeling information to info@PaperlessSolutions.com and we will upload them alongside the paperwork we scanned.
